Host Quarterly Performance Review

At the end of each quarter, we send you a quarterly review that brings together how your property has performed, the work carried out on your behalf, and feedback from your guests.

It's designed to give you a clear, easy-to-understand snapshot of your property's performance and to support informed, data-driven conversations with your property manager.

What's the purpose of the Quarterly Review?

As part of our fully managed service, a significant amount of work takes place behind the scenes to maximise your property's performance and deliver a great guest experience.

From pricing optimisation and calendar management to guest communication, maintenance coordination, cleaning oversight and review management, many of the activities that contribute to your property's success aren't always visible day to day.

The Quarterly Review is designed to increase transparency and showcase the work being carried out on your behalf.

By bringing together performance, management activity and guest feedback in one place, it gives you and your property manager a shared, data-driven basis for discussing results, celebrating successes and identifying opportunities for improvement.

Accessing your Quarterly Review

Your quarterly review is sent to you by email as a PDF shortly after each quarter ends, and will soon also be available to view at any time in the Client Portal.

  • You'll receive your quarterly review by email around a week in to the start of the new quarter

  • You'll also be able to download a copy at any time from the Client Portal (coming soon)

When will I get my first quarterly review?

Quarterly reviews are only generated once your property has completed onboarding and a full quarter of management. Your first quarterly review will be sent the quarter after the one in which your property finished onboarding.

Example: If your property completes onboarding in February, your first quarterly review will cover Q2 and will be emailed to you in July.

If your property offboards from Pass the Keys, no new quarterly reviews will be created, but any quarterly reviews already generated will remain available to you.

Understanding your quarterly review

Your quarterly review is a snapshot of your property's performance. Forward-looking information, such as upcoming bookings, reflects data available at that time. For the most up-to-date figures, the Client Portal should always be your go-to source.

Your quarterly review brings together information from Accounting, Bookings & Performance, Property Activities and Guest Reviews, all of which you can also explore in more detail in the Client Portal.

What's in your Quarterly Review

Your quarterly review is built around four main areas:

  • Active Management in Action presents the operations undertaken by the local property manager and their team

  • Guest Feedback left by guests who stayed in your property during the quarter

  • Results & Performance delivered during the last quarter

  • Looking Ahead to what's coming in the next quarter

Active Management in Action

This page brings together the day-to-day work your local team has carried out on your behalf during the quarter: Taking and managing bookings, keeping your pricing competitive, responding to guest messages, and completing cleaning, changeover and maintenance jobs.

The figures shown are pulled directly from your booking and operations data, giving you a clear sense of the volume of activity behind the scenes and the effort that goes into keeping your property performing well and guest-ready.

Guest Reviews

This page focuses on how guests are experiencing your property, using their review scores and comments from the quarter to highlight overall satisfaction and any recurring themes.

Here we show Airbnb reviews, with other booking platform reviews to follow soon. A short selection of guest comments is shown alongside your average score, giving you a flavour of guest sentiment and a useful starting point for spotting opportunities for any improvements.

Results & Performance

While Active Management in Action shows the work carried out, this page shows the results it delivered: Income generated, how pricing performed, and how well your property was booked over the quarter.

It draws on your booking and revenue data to show Net Booking Value month by month, the range of nightly rates achieved, average daily rate, how bookings were split across channels, and your occupancy and availability for the period, giving a rounded view of your property's financial and operational performance.

Looking Ahead

This page offers a snapshot of how the next quarter is shaping up, based on bookings, jobs and availability confirmed at the point your quarterly review was generated.

It uses the same booking and operations data as the rest of your quarterly review: including upcoming Net Booking Value, confirmed bookings, planned jobs, available nights, and typical booking lead time and length of stay, to give you an early indicator of what's ahead. As this data updates continuously, the Client Portal will always reflect the latest position.

The content of your quarterly review doesn't change, but the Client Portal continues to update in real time as bookings and availability change.

Channel mix varies naturally based on demand, market conditions and guest behaviour.

No new quarterly reviews will be created, but any quarterly reviews already generated will remain available to you for reference.
